Luxury European resort brand with North American Group Sales office based in New York City has an immediate opening for an experienced Sales Coordinator.  This role is to support a small sales team of 2 people and to liaise with the company headquarters in Europe on a daily basis.  The position is based out of the Midtown NYC office with limited evening/weekend work and travel is not required.  Must be comfortable working in a small office setting while being connected to a larger team overseas.   Previous luxury hotel or sales experience preferred, but not required.
Job Description: Primary responsibility to support Director of Sales USA and Sales Manager and their respective business segment.

Sales Duties:

  • In-depth involvement and management with Sales Managers in Sales Cycle in order to maximize group sales opportunities.  To include:
  • Tracking and proposal process
  • Reconciling monthly chart and figures
  • Communication with sales team on RFP and proposal distribution
  • Eagerness to assist in the sales process directly with clients
  • Direct client involvement via phone or email to pre-qualify opportunities and move current pipeline
  • Track and file confirmed contracts
  • Acts as a liaison between sales manager and clients in the sales team absence
  • Dissemination of post-sales activity follow up via mailings, client interaction, and email distribution. Processes VIP requests, amenity cards/orders for sales team
  • Proactive luxury attitude when communicating via phone and email with clients.  Answers telephone calls and responds to guest questions/inquiries. Transfers telephone calls and records and distributes messages to sales team
  • Manage office inventory and ordering of brochures, gifts, office supplies
  • Maintain a consistent and organized gift and collateral storage area with suggestions for items to use based on quantity needs, actions and expiration of goods.  Monthly inventory report to be provided to Director
  • Assemble sales kits for sales team and client requests. Ensures that an adequate inventory of sales material is available for both online and offline uses
  • Participate in weekly pipeline review calls with HQ and sales meetings as assigned and take meeting minutes where necessary
  • Reconcile monthly sales figures from HQ
  • Maintain sales team travel and holiday calendars
  • Create and maintain calendar of site inspections, program operations, key meetings, industry functions and staff holidays for transparent communication

Ongoing daily database maintenance including:

  • Current contact information and accuracy of relationships
  • LinkedIn updates
  • Client exchanges
  • RFP and proposals logging
  • Coordination with marketing team at HQ for e-newsletter distribution
  • Tailor-made delivery of collateral to reflect current pipeline and planned sales actions/quarterly.
  • Manage group lists for future FAM trips, sales promotions/offers, mailings, special events
  • Preparation of sales budget with sales team and monthly monitoring of expenses against set fiscal budget
  • Attendance at in-market events as requested to represent SBM
  • Additional responsibilities may be assigned that require more independent work on special sales/marketing projects and more in depth communication and sales relationship building with clients. 
  • Client event management and coordination as needed pertaining to fiscal budget and planned sales actions.  Acts as liaison to help plan group events by working to partner with local vendors to maximize events options

Other Duties:

  • Ongoing maintenance of in-office filing system: updates file folders, completes photocopying and scanning as needed
  • Reviews and distributes incoming and outgoing mail
  • Maintains customer lists and assists with bulk mailings
  • Tracking of activity enrollment, memberships, registration and payments pertaining to sales actions
  • Maintain and reconcile an organized and user-friendly shared drive
  • Schedule regular IT health checks with vendor and monitor monthly IT needs with sales team
  • Verification, tracking, research and payment distribution for accounts payable while acting as a liaison with accounting firm
  • Find and suggest efficiencies and cost-saving opportunities for office
  • Timely collection and preparation of expenses for HQ

Compensation: 40-45K + benefits + vacation + bonus based on targets achieved
